How To Get Your Business VA-Ready? Standard Operating Procedures.

What’s the secret to being ready to bring on a Virtual Assistant (VA) in your business?

Want to make sure they are trained properly and represent your brand the way you envisioned?

Then, you need your own Standard Operating Procedures (SOPs)!

But SOPs aren’t just for when you’re ready to bring on a VA… they’re key to your business even if you’re a solopreneur right now!

Many entrepreneurs think they’ve got it covered without them needing to be documented. We hear people say things like: “I know what needs to get done… it’s all in my head!”, or “I don’t have time to write this all down”, or “The team knows what needs to be done.”

Spoiler Alert: Those reasons may apply TODAY but they will limit you and your business TOMORROW.

Why are SOPs so important for your small business?

  • Consistency: SOPs provide a set of documented guidelines for performing routine tasks and processes. This means these tasks are consistently executed to a high standard, regardless of who is performing them. Consistency is vital for maintaining product or service quality and customer satisfaction.

  • Efficiency: SOPs outline the most efficient and effective ways to carry out tasks. This helps you streamline operations, reduce waste (of time, resources, and materials), and improve productivity. When your team members follow established procedures, they can complete tasks more quickly and with fewer errors.

  • Training and Onboarding: SOPs serve as valuable training tools for new team members. They provide a structured framework for teaching employees how to perform their duties, reducing the time and resources needed for onboarding.

  • Customer Satisfaction: Consistency and quality, driven by SOPs, lead to improved customer satisfaction. Satisfied customers are more likely to become repeat customers and recommend your business to others.

  • Operational Continuity: SOPs are invaluable in ensuring that business operations continue smoothly even in the absence of key personnel. If a key team member is absent, quits, or becomes unavailable, others can step in and follow established procedures to keep the business running.

SOPs provide you and your business a structured framework for managing day-to-day operations and are particularly valuable as businesses grow and face increasing complexities.

Contact us today to see how we can help you get VA ready with the creation of custom SOPs for your small business.

Unleashing the Power of Scalable Virtual Assistants→ Revolutionizing Productivity and Efficiency

As a small business providing virtual assistance to our clients, we are often asked what is the best part of working with a virtual assistant. That question is so dang hard to answer because, in our opinion, there is absolutely zero downside to working with a virtual assistant. But if we had to choose just one thing that truly highlights the impact a virtual assistant can make on a business, we would have to say the power of scalable support.

So often small business owners are in need of help and just not sure where to start. One week they might be in need of something to assist in behind the scenes office organization and the next it could be planning and organizing a social event for clients. It would not be financially responsible to hire a new full or part time employee when the demands fluctuate so dramatically. That is the beautiful part of bringing in a virtual assistant- we can truly do whatever it is that is currently needed, no matter how big or small the task may be.

Anyone have a small mountain of business cards collecting dust on your desk, and you just aren’t sure what to do with them? How does an excel spreadsheet sound? A searchable document where we have entered every name, email, phone number, etc. of every contact you provided. We’ve got you covered. You deliver the cards, we take care of the rest.

Want to put your business out there and reach a larger audience through podcasts or local events? Just give us the parameters for what you are interested in, and we complete all the research for you. We can find local events and/or podcasts, get you in touch with the host/sponsor, and help spread the word about your small business.

Interested in hosting a social event for your clients, but don’t have the time or energy to find a location and organize all the details? We’ve got your back! We take care of all the specifics, so that all you have to do is invite your clients and show up!

With a virtual assistant handling routine tasks, you can focus on high-value activities that directly contribute to your goals and priorities. This can lead to increased productivity and the ability to accomplish more in less time, allowing you to focus on what truly matters in your personal and professional life. Give us a call to see how we can help you today!

How to Fill Your Cup

Did you know that reportedly 40% of employees fail to take all of their vacation days? According to a recent survey conducted by the U.S. Travel Association, it is true that almost half of employed people do not take their full vacation time due to the inability to feel comfortable relaxing enough to step away because their job is so demanding.

As a small business owner myself, I feel this to my core. How could I possibly step away from my clients and their needs as well as the needs of my own business to just relax and be with loved ones? I do not know about you, but it is not a switch I can just turn off where I stop the thoughts running through my mind all hours of the day, planning how to best help my clients and growing my business. So how can I just up and leave for vacation?

You can, and you should. You cannot pour from an empty cup. Burnout is a real thing. If you continue to work yourself to the bone, you are not doing yourself or your clients any favors. Do what you need to do to fill your cup. 89% of workers have experienced burnout in the workplace in the last year. What can we do to change this?

Ways to fill your cup to prevent burnout:

  • Take the trip!

  • Meditation

  • Go for a daily walk

  • Read a book for pleasure

  • Grab coffee with a friend

  • Aimlessly wander the aisles of Target with an iced coffee in hand (it’s pretty amazing how rejuvenating this is for me!)

In summary, prioritize filling your cup. Take the dang trip. Your cup will be overflowing and the work will still be here when you return. Having just returned from a trip myself, I can tell you with certainty, it is worth the extra prep to be able to step away.

Even worth the 45,874 emails in my inbox upon my return 🤪

(Dear Clients, I will get back to you in approximately 12-15 business days…..kidding!)
